Document metadata and collaboration records

What documents reveal beyond the visible page

Author fields, tracked edits, hidden PDF content, version history and shared-file view logs can reveal different parts of a document trail.

Conceptual illustration

A Word file can contain more than the finished text

Microsoft describes author and last-saved-by properties, creation dates, reviewer comments, tracked revisions, template information and hidden text in Word documents. These can identify participants or expose an earlier draft even when the page looks ready to share. Document Inspector covers several of these categories. Microsoft: document properties, hidden information and inspector limits

An inspector has limits

Microsoft says Word's inspector cannot detect every concealment method, including white text on a white background or objects covered by other objects. An inspection result should therefore be combined with a review of the document itself. Microsoft: document properties, hidden information and inspector limits

Turning off tracking does not remove earlier edits

Microsoft says turning off Track Changes stops marking new changes while existing marks remain. Hiding a markup category is a display choice, and it can reappear when the file is reopened. Accepting or rejecting changes is a different operation from hiding them. Microsoft: displaying versus resolving tracked changes

PDF metadata can be viewed and changed

Adobe documents viewing PDF metadata under Document properties and Additional Metadata. Its editing controls can append or replace metadata and delete selected XML schemas. Because these fields can be edited, an apparent metadata identity should not be treated as conclusive proof of who authored a document. Adobe: viewing and editing PDF metadata

PDFs can contain hidden material

Adobe's sanitization guide lists metadata, comments and hidden layers among content that may remain inside a PDF. Acrobat Pro provides selective removal as well as a broader removal operation. A clean-looking page alone does not establish that every embedded item has been reviewed. Adobe: selective removal of hidden PDF content

Visible redaction and hidden-data removal have different scopes

Adobe distinguishes removing visible text or graphics through redaction from sanitizing metadata, embedded content, scripts and other hidden elements. It describes applied-and-saved redactions as permanent. Reviewing the visible page and reviewing hidden information are separate parts of preparing a shareable copy. Adobe: visible redaction versus hidden-data sanitization

Cloud documents can reveal editing history

Google says edit permission is required to browse earlier versions of Docs, Sheets, Slides or Vids. History can show who changed a file and what changed. Its current help also describes owner controls for permanently deleting unnamed historical versions; explicitly named versions are excluded from those bulk operations. Google: editor access, version history and owner deletion limits

Viewing a shared file can leave a separate activity record

Google says work or school file owners may be able to see signed-in viewers through Activity dashboard. Its privacy choice can hide that dashboard history, but does not affect view logs outside the dashboard. Turning visibility back on can make previously recorded views appear again. Questions and answers

Does hiding Word markup remove the underlying changes?

Microsoft distinguishes hiding markup from accepting or rejecting changes. Microsoft: displaying versus resolving tracked changes

Can every Google document viewer browse earlier versions?

Google says browsing version history requires edit permission. Google: editor access, version history and owner deletion limits

Does hiding Activity dashboard history erase all view logs?

Google explicitly says other view logs are unaffected. Google: Activity dashboard visibility and other view logs
