Practical document-sharing privacy
Review document metadata, revisions and sharing history
Inspect a separate sharing copy for properties, tracked changes and hidden content, then review cloud history and view controls on their own terms.

Inspect a separate copy in Word on Windows
Microsoft recommends working on a copy because inspector removals may not be undoable. Its documented desktop route is File > Info > Check for Issues > Inspect Document. Select the categories, inspect and review results before choosing any Remove All action. Keep the original where it is needed and review the visible content too. Microsoft: document properties, hidden information and inspector limits
Review existing tracked changes instead of only hiding them
In Word's Review controls, Microsoft documents moving between changes and accepting or rejecting individual edits. Review their meaning on the intended sharing copy. Turning Track Changes off or hiding markup does not resolve earlier edits. Do not accept every change blindly just to make the markup disappear. Microsoft: displaying versus resolving tracked changes
Inspect PDF metadata without automatically changing it
Adobe documents Document properties > Description > Additional Metadata > Advanced. The entry point is Menu on Windows and View on macOS in this metadata guide. Review existing fields privately. Append, Replace, Delete and saving a metadata template are changes or exports, not required steps merely to inspect the information. Adobe: viewing and editing PDF metadata
Review selected hidden PDF items before removal
In Acrobat Pro, Adobe documents All tools > Redact a PDF > Sanitize document > Selectively remove. Review the Hidden Information categories and select only the intended items. Removal becomes permanent when the file is saved. Use an appropriate separate sharing copy and inspect the result before distribution. Adobe: selective removal of hidden PDF content
Keep redaction and sanitization decisions separate
Adobe's guide says redaction covers visible text and graphics while hidden information needs sanitization. Decide which content is intended for the recipient before applying either operation. Applied-and-saved redactions are permanent; preserve an appropriate original and follow any applicable document-retention requirements. Adobe: visible redaction versus hidden-data sanitization
Review cloud versions with the correct permissions
Google documents Last edit at the top right for opening version history when edit access is available. Its current owner deletion controls exclude explicitly named versions and are irreversible. Do not select Delete history just to inspect past changes, and do not assume a visually edited current version removes earlier content. Google: editor access, version history and owner deletion limits
Treat Google view-history visibility as a limited choice
For a work or school shared file on a computer, Google documents Tools > Activity dashboard privacy > Show my view history for this document. Review the existing choice before changing it. This affects the dashboard, not other view logs, and is separate from deleting a file or its version history. Google: Activity dashboard visibility and other view logs
