Cloud files and access
How shared cloud files reach more people
A forwarded link, a shared folder, a group membership and a published document can expose information through different access routes. Review the audience and role together.

A link audience and an editing role answer different questions
Google Drive distinguishes named access, organization access and Anyone with the link. The last option permits people holding that link to open the item without a Google sign-in. Viewer, Commenter and Editor describe what the permitted audience can do. A view-only role does not itself narrow a broadly shared audience. Google: sharing and folder inheritance
Microsoft similarly distinguishes Anyone, an organization, Specific people and People with existing access. Its existing-access option does not grant new permission; a Specific people link can coexist with access already granted another way. Read the item's complete access picture rather than only its newest invitation. Microsoft: OneDrive link audiences
Folder and group access can outlast one invitation
Drive's ordinary folder sharing passes permissions to its contents. Its current guidance directs users to the parent folder when a proposed file-level reduction conflicts with inherited access. A file's short recipient list therefore may not describe every route into it. Google: sharing and folder inheritance
Google also documents limited-access folders as a separate feature. Its help warns that people or groups listed with access and General access take precedence over an Access removed list. Managers in shared drives and owners in My Drive retain particular access. Removing one named route is not evidence that every route is closed. Google: limited-access folders
Publishing creates another version to review
Google Docs, Sheets and Slides can publish a version at a separate URL or embed it in a website. Audience availability depends on account settings. Google distinguishes stopping publication from changing collaborator permissions; a review should examine both when a document has been published. Google: publication is a separate control
A shared folder can expose later additions
Apple's iOS 27 Files guide says content added to a collaborative iCloud Drive folder is shared automatically. It also says shared-file links contain the filename and can be forwarded when access permits anyone with the link. Consider the folder's future contents and the filename, as well as today's document. Copy restrictions have a practical boundary
Google offers controls over downloading, copying, printing and editor resharing, but explicitly says those controls cannot stop recipients sharing the content in other ways. Reducing live access should not be read as proof that every recipient-held copy has disappeared. That is a limit of the control, not evidence that a particular recipient made a copy. Google: sharing controls and content-copy limits
Questions and answers
Does view-only mean only one chosen person can open the link?
No. The role and audience are separate. Google Drive documents both named access and Anyone with the link. Google: sharing and folder inheritance
Does a specific-people link erase existing OneDrive access?
Microsoft says other people may already have access. Review the remaining routes. Microsoft: OneDrive link audiences
Is stopping document publication the same as removing a collaborator?
Google provides separate instructions for those actions. Check both when applicable. Google: publication is a separate control

Primary documentation checked 10-23-2026. Apple's United States iPhone guide visibly selected iOS 27. Google and Microsoft help distinguish platform, account, ownership and organization settings without establishing one installed app build. Provider documentation describes access controls; it is not an audit of a person's files or an assertion that private information was exposed.
