Choose the right account and categories, review export destinations and access duration, and understand archive availability without confusing a copy with deletion.

Start with the intended account and task

Apple lists requesting a copy separately from correcting information, transferring it, deactivating an account or deleting it. Review those options before selecting a tool. Apple: separate copy, correction, transfer and account tools

Review the smallest useful Takeout selection

Google documents signing in, selecting products in Takeout, deselecting unwanted data and choosing Next step. Review delivery, frequency, file type and size before Create export. Google: Takeout selection, delivery and archive limits

Check where the archive would go

Google offers email-link and cloud destinations. Keep the destination private; a Box enterprise administrator can view a delivered archive even without a sharing link. Google: Takeout selection, delivery and archive limits

Review Apple categories and download availability

Apple documents signing in at its Data & Privacy page, selecting Request a copy of your data, choosing categories and Continue. Availability varies by region. Each account needs its own request. Ready files remain available there for 14 days. Apple: account data copies and exclusions

Allow for missing data and limited archive availability

Google says Takeout archives expire in about seven days, with at most five downloads. Expiry does not mean the original account data expired. Google: Takeout selection, delivery and archive limits

Read a third-party transfer permission separately

Google says this separate process begins at the receiving service. Review the selected data and whether access is once, 30 days or 180 days. Consider its privacy and security disclosures before consenting. Account and regional restrictions apply. Google: third-party copies and continuing access

Use the documented file guidance

Apple recommends a Mac or Windows PC to view downloaded files. Its file guides explain service-generated records, rather than personal emails, photos or documents. Apple: account data copies and exclusions

For Gmail, check the documented export categories: work or school restrictions and retained message encryption can affect what is usable. Google: Gmail export contents and managed accounts

Questions and answers

Sources and scope

Provider documentation checked 10-24-2026; physical devices were not tested. Steps describe public documentation, not a completed export. Apple regional scheduling options are not generalized to every account. Archive expiry refers to download availability, not deletion of source records.
